The Payroll Supervisor is responsible for overseeing the end-to-end payroll processes, ensuring accurate and timely payroll operations for all employees. This role involves leading a payroll team, maintaining payroll systems, ensuring compliance with labor regulations, and driving process improvements. This role also involves analyzing payroll data, resolving discrepancies, and working closely with other departments, specifically Accounting, to ensure seamless payroll operations in a fast growing fully remote company.

Responsibilities

  • Supervise and mentor the payroll team, providing guidance, support, and training to ensure accuracy and efficiency in payroll processing.

  • Manage and actively support the preparation, documentation, and processing of payroll, ensuring accuracy, compliance, and adherence to deadlines. Ensure payroll processes are compliant with federal, state, and local regulations, including labor laws, tax requirements, and wage-and-hour regulations. Stay updated on legislative changes affecting payroll.

  • Conduct regular payroll audits to ensure accuracy in calculations, tax withholdings, deductions, and benefits contributions. Reconcile payroll accounts and ensure proper accounting of payroll transactions.

  • Prepare and analyze payroll reports, conduct audits to identify discrepancies or issues, and reconcile payroll accounts. Work closely within the team and Accounting to coordinate employee information and reporting, including headcount analysis, labor cost trends, and other key performance metrics.

  • Act as the primary escalation point for complex payroll issues, investigating and resolving discrepancies, and addressing concerns from employees and other departments.

  • Analyze current payroll processes and systems, recommend improvements, and implement best practices to enhance operational efficiency and reduce errors. Lead or contribute to special projects, such as system upgrades, new benefit implementations, and mergers or acquisitions, ensuring payroll continuity and integration.

90 Day Plan

Within your first 90 days at Virta, we expect you will do the following:

  • Autonomously process payroll while leading the payroll team

  • Able to reliably execute and propose updates on a broad range of payroll operational processes and policies

  • Exhibit a high level of professionalism, responsiveness, and attention to detail

  • Work directly with employees and leaders regarding payroll matters including troubleshooting, data reporting, auditing, etc.

  • Explore a transition from PEO supported to internally supported payroll.

Must-Haves

  • Minimum of 5+ years of multi-state payroll experience, preferably in a similar role. Experience leading a team is preferred.

  • Advanced proficiency in payroll software (e.g., ADP, Trinet), Excel, Google products, and HRIS systems.

  • Comprehensive understanding of US federal and state payroll regulations, including FLSA, tax laws, and wage and hour laws.

  • Strong analytical and problem-solving skills with attention to detail while managing data at a high volume with a high level of accuracy.

  • Excellent written and verbal communication skills, with the ability to explain payroll policies and resolve employee issues.

  • Ability to maintain a high level of confidentiality regarding payroll and employee data.

Virta has a location based compensation structure. Starting pay will be based on a number of factors and commensurate with qualifications & experience.
