Position Title: Central Scheduler

Status: Full-Time, Salary

Position Summary:

The Central Scheduler is an experienced, detail‑oriented operational professional responsible for coordinating high‑volume, accurate, and timely scheduling across Positive Development’s services. Working within a fast‑paced, complex care environment, this role ensures continuity of services for families while optimizing clinician and Child Developmental Specialist (CDS) schedules.

The Central Scheduler supports day‑to‑day scheduling workflows, communicates proactively with internal and external stakeholders, and maintains strong data integrity across scheduling systems. This position requires excellent time management, customer service, and problem‑solving skills, as well as the ability to navigate dynamic staffing, capacity, and client needs.

Key Responsibilities:

Scheduling Operations & Service Coordination

· Execute accurate, timely scheduling of clinicians and CDS providers to support ongoing services, evaluations, and reassessments.

· Adhere to scheduling protocols, service delivery requirements, and provider availability rules.

· Maintain up‑to‑date schedules, time blocks, and session details, ensuring alignment with authorization limits, session types, CPT codes, and documentation requirements.

· Respond quickly to schedule changes, cancellations, and urgent coverage needs while minimizing service disruptions.

· Identify scheduling gaps or potential conflicts and escalate issues to the Director as needed.

Data Integrity & Workflow Management

· Ensure accuracy and consistency of data within scheduling platforms, EMR systems, and workforce tools.

· Conduct routine reviews of schedules to verify completeness, accuracy, and compliance with internal standards.

· Support continuous improvement by providing feedback on system workflows, recurring issues, and operational bottlenecks.

Capacity & Utilization Support

· Align client needs with Clinical Lead and Developmental Paraprofessionals (DPPs) availability to optimize caseload distribution and productivity.

· Assist with monitoring utilization trends, staffing changes, and capacity constraints across assigned regions.

· Work closely with the Central Scheduling Director to forecast coverage gaps and inform resource planning.

Customer Service & Cross-Functional Collaboration

· Serve as a primary point of contact for scheduling questions from Clinical Leads, Developmental Paraprofessionals (DPPs), operations partners, and client‑facing teams.

· Communicate professionally and proactively with families regarding scheduling changes, availability, and service coordination.

· Collaborate with Clinical, Operations, and Administrative teams to ensure schedules support high‑quality service delivery and client experience.

· Participate in team meetings, training updates, and workflow alignment initiatives.

Qualifications:

· 2+ years of scheduling or coordination experience within healthcare, human services, or another high‑volume, service‑based environment.

· Strong understanding of scheduling dynamics, provider availability management, and client‑service workflows.

· Proficiency in scheduling platforms, EMR systems, and operational tools (experience in multi‑site or large health systems preferred).

· Bilingual proficiency is preferred.

· Excellent communication, customer service, and relationship‑management skills.

· Strong organizational skills with the ability to manage competing priorities in a fast‑paced setting.

· High attention to detail and commitment to data accuracy.

· Ability to collaborate with cross‑functional teams and adapt to evolving operational needs.
